Privacy Policy

1. Who we are
BarnBrief (“we”) runs barnbrief.com, barn management software for equestrian facilities: care logs, feeding, scheduling, lessons, billing and competition records for the horses in a barn. This policy explains what we collect when you use the site, why, who helps us process it, and how to have it corrected or deleted. Questions: support@barnbrief.com.
2. What we collect
- Account details. Your name and email address. If you sign up with a password, we store only a one-way hash of it, never the password itself. If you sign in with Google, we receive your name, email address, and profile picture from Google; we do not receive your Google password.
- Sign-in sessions. For each signed-in session we keep the IP address and browser type it came from, to keep your account secure.
- Your barn’s records. The barn you set up, its location (for the weather) and its members; the horses you add and their details (including owner names); care log entries, feed charts and feeding checks; scheduled appointments and shows; vet and health documents you upload; lessons, riders and their contact details; billing accounts, charges, invoices and expenses; and who entered each one. These are visible only to people in your barn, and horse owners see only the horses shared with them.
- Usage analytics. We use Google Analytics to understand which pages are used, through cookies it sets. It collects information such as pages visited, approximate location, and device type.
Payment card and bank details are entered on Stripe’s pages and go straight to Stripe; we never see or store them. We do not sell your personal information.
3. How we use it
- To create and secure your account, including confirming your email address and resetting passwords.
- To keep your barn’s records and show them to the people in your barn.
- To find and update your horses’ competition records from public sources. Only the horse’s show name and the identifying details you enter are used for this, never your care log or schedule.
- To run the AI features your barn uses (the morning brief, Ask the barn, vet document reading, voice logging and horse analysis), which read the barn records each one needs, as described in section 4.
- To show the forecast and weather alerts for your barn’s location.
- To take payments: your barn’s subscription, and invoices your barn sends its clients.
- To send account emails and notices about your horses’ records.
- To enforce usage limits and prevent abuse.
- To understand how the site is used so we can improve it.
4. Who processes it for us
We use these service providers, each only for the purpose listed:
- Vercel — hosts the website.
- Neon — stores the database behind your account.
- Resend — delivers our emails.
- Google — “Continue with Google” sign-in, if you use it, and Google Analytics.
- Stripe — takes payments: your barn’s subscription, and invoices paid online. It receives the name and email address of the person or account paying, and the card or bank details they enter on its pages.
- Anthropic — the AI models behind BarnBrief’s AI features. To find a competition record, it receives the horse’s show name and the identifying details you entered, and reads public web pages. For the morning brief, Ask the barn, vet document reading, voice logging and horse analysis, it receives the barn records each feature needs: for example horse names and details, care log entries and who logged them, feed charts and feeding checks, appointments, uploaded documents, lessons with rider and instructor names, billing account names and show results. It does not receive passwords, email addresses, phone numbers or payment details.
- Weather services — OpenStreetMap’s Nominatim finds the place you type for your barn’s location; the US National Weather Service (for US barns) and MET Norway (elsewhere) receive the barn’s map coordinates to return its forecast. They receive nothing else about you or your barn.
Voice logging uses your browser’s own speech recognition to turn what you say into text; in some browsers, such as Chrome, that audio is processed by the browser’s maker. We receive only the text.
These providers may process data in the United States. We may also disclose information if the law requires it.
5. Information barns enter about other people
Barns use BarnBrief to keep records about people who don’t have an account with us: riders, horse owners, families who pay for lessons, staff and vets, for example. For those records the barn decides what to enter and what it’s used for, and we process the information on the barn’s behalf, only to run the service for that barn (including the AI features in section 4). The barn is responsible for having the right to enter it, for telling those people how it handles their information, and for answering their requests. If you’re in a barn’s records and want something corrected or deleted, ask the barn; you can also contact support@barnbrief.com and we’ll work with the barn on it.
6. Information in competition records
Competition records compile information published elsewhere — federation results, show results, registries, and news coverage. They can name people connected with a horse, such as riders, owners, trainers, and breeders, as those sources name them, and every fact links to its source. If a record includes information about you that is wrong, or that you want reviewed, contact support@barnbrief.com.
7. Cookies
- Essential: a session cookie that keeps you signed in. The site can’t work without it.
- Analytics: Google Analytics cookies, as described above. You can block them in your browser settings or with Google’s opt-out add-on without affecting the rest of the site.
8. How long we keep it
We keep your account information for as long as your account exists. When you ask us to delete your account, we delete your account and sessions. A barn’s records belong to the barn: when its owner asks us to delete the barn, we delete its horses, care log, schedule, documents, lessons and billing records. Competition records compiled from public sources aren’t personal to you and may be kept. Backups and email-delivery logs held by our providers expire on their own schedules.
9. Your choices and rights
You can ask us for a copy of your information, to correct it, or to delete your account by emailing support@barnbrief.com from the address on your account. Depending on where you live, you may have further rights under local law, such as the right to object to certain processing or to complain to a data protection authority; contact us and we’ll help.
10. Security
The site is served only over HTTPS, passwords are stored as one-way hashes, email addresses are confirmed before password sign-in, and access to our systems is limited. No system is perfectly secure, so please use a strong, unique password.
11. Children
BarnBrief is for barns and the adults who run them, work at them and pay for lessons. Children under 13 can’t create accounts, and we don’t knowingly collect information from them: a barn’s online booking and waitlist forms ask the person filling them in to confirm they’re 18 or older and the rider or the rider’s parent or guardian, and the barn keeps a record of who confirmed and when.
Barns can record riders who are children, such as their name, riding level and a parent’s contact details, to run their lessons. As section 5 explains, the barn decides what it records and is responsible for having the parent’s permission, and we use that information only for the barn, including in the AI features described in section 4. A parent can ask the barn, or us at support@barnbrief.com, to correct or delete their child’s information. If we learn that a child under 13 gave us information directly, we’ll delete it.
12. Changes
We’ll post any changes to this policy on this page with a new effective date, and email account holders about significant changes.
